Your access to and use of the Step2Flow work management platform, including the web application and mobile applications (the “Service”), is conditioned on your acceptance of and compliance with these Terms of Service (the “Terms”). These Terms apply to all visitors, users, and other persons who access or use the Service.

Purchases and Billing
If you purchase any subscription, product, or service made available through the Service (“Purchase”), you may be asked to provide certain information relevant to your Purchase including, without limitation, your name, company details, credit card number, the expiration date of your credit card, billing address, and applicable tax or invoicing information.
You represent and warrant that: (i) you have the legal right to use any credit card(s) or other payment method(s) in connection with any Purchase; and (ii) the information you provide to us is true, correct, and complete. By submitting such information, you grant us the right to provide the information to third‑party payment processors for the purpose of facilitating Purchases.
Step2Flow reserves the right to refuse or cancel any order or subscription at any time for reasons including but not limited to: service availability, errors in the description or price, errors in your order, non‑payment, suspected fraud, or unauthorised or illegal transactions.
Availability, Errors, and Inaccuracies
The Service and all related offerings are continually updated and improved. The services available on the Service may be mispriced, described inaccurately, or temporarily unavailable, and we may experience delays in updating information on the Service and in other communications.
Step2Flow does not guarantee the accuracy or completeness of any information on the Service, including prices, feature descriptions, specifications, availability, and other content. We reserve the right to change or update information and to correct errors, inaccuracies, or omissions at any time without prior notice.
Limitation of Liability for AI Features
To the maximum extent permitted by applicable law:
- No liability for AI content. Step2Flow is not liable for any damages, losses, or claims arising from AI‑generated content, including inaccuracies, errors, omissions, or your reliance on such content. AI outputs are probabilistic and may not be accurate, complete, or appropriate for every use case.
- Third‑party AI services. AI features may rely on third‑party AI providers (such as OpenAI, Anthropic, ElevenLabs or similar vendors). Step2Flow is not responsible for the performance, availability, or functionality of such third‑party services, and any issues with underlying AI models are outside our control.
- Your responsibility. You are solely responsible for reviewing, editing, and approving AI‑generated content before using it internally or publishing it. You are responsible for any consequences, including legal or business outcomes, resulting from your use of AI features.
- No consequential damages. Step2Flow shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of AI features, even if advised of the possibility of such damages.
Nothing in these Terms excludes or limits liability that cannot be excluded or limited under mandatory law.
Content
The Service may allow you and your users to create, upload, link, store, share, or otherwise make available information, text, graphics, images, files, videos, or other material (“Content”). You are responsible for the Content that you or your users post or otherwise make available via the Service, including its legality, reliability, and appropriateness.
You retain any and all rights to Content you submit, post, or display on or through the Service and you are responsible for protecting those rights. By posting or uploading Content, you grant Step2Flow a limited, worldwide, non‑exclusive, royalty‑free license to host, store, display, and use such Content solely for the purpose of providing and improving the Service to you and your organisation.
You represent and warrant that: (i) you own the Content or you have the necessary rights to use it and grant the above license; and (ii) the posting of your Content on or through the Service does not violate the privacy rights, publicity rights, copyrights, contract rights, or any other rights of any person or entity.
Content generated by AI features is considered your Content under these Terms. You own all AI‑generated content created through your account and remain fully responsible for reviewing, editing, and using such content. You acknowledge that AI‑generated content may require human review and may not be suitable for all purposes without additional verification. Step2Flow does not warrant the accuracy, quality, or appropriateness of AI‑generated content.
Accounts
When you create an account with Step2Flow, you must provide accurate, complete, and current information at all times. Failure to do so constitutes a breach of these Terms and may result in immediate suspension or termination of your account.
You are responsible for safeguarding the password or other credentials that you use to access the Service and for any activities or actions under your account, whether the access occurs via our Service directly or via a third‑party single sign‑on or integration. You agree not to disclose your credentials to any third party and to notify us immediately upon becoming aware of any breach of security or unauthorised use of your account.
You may not use as a username the name of another person or entity, a name that is not lawfully available for use, a name or trademark that is subject to any rights of another person or entity without appropriate authorisation, or a name that is otherwise offensive, vulgar, or obscene.
Links to Other Websites or Services
The Service may contain links to third‑party websites or services that are not owned or controlled by Step2Flow. Step2Flow has no control over, and assumes no responsibility for, the content, privacy policies, or practices of any third‑party websites or services.
You acknowledge and agree that Step2Flow shall not be responsible or liable, directly or indirectly, for any damage or loss caused or alleged to be caused in connection with the use of or reliance on any such content, goods, or services available on or through any such websites or services. You are strongly advised to read the terms and conditions and privacy policies of any third‑party websites or services that you visit or integrate with.
Termination
Step2Flow may terminate or suspend access to the Service, in whole or in part, with or without prior notice, for any reason, including without limitation if you breach these Terms, fail to pay fees when due, or misuse the Service.
We may also terminate or suspend your account immediately, without prior notice or liability, if we reasonably believe that your use of the Service poses a risk to Step2Flow, our infrastructure, other customers, or any third party (for example, security risks, abuse, or fraud).
Upon termination, your right to use the Service will immediately cease. If you wish to terminate your account, you may simply discontinue using the Service and/or request account deletion as described in our Privacy Policy.
All provisions of these Terms which by their nature should survive termination shall survive termination, including, without limitation, ownership provisions, warranty disclaimers, indemnity, and limitations of liability. When your account is terminated or suspended, access to all AI features is revoked. Any AI‑generated content already saved in your projects, tasks, or other areas of your workspace remains your property, but you will no longer be able to generate new AI content or access AI features.
Governing Law
Unless otherwise required by mandatory local law, these Terms shall be governed by and construed in accordance with the laws applicable to Step2Flow’s contracting entity (without regard to conflict of law principles and excluding the United Nations Convention on Contracts for the International Sale of Goods).
Our failure to enforce any right or provision of these Terms will not be considered a waiver of such rights. If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions will remain in full force and effect. These Terms constitute the entire agreement between you and Step2Flow regarding the Service and supersede any prior agreements regarding the Service.
Changes to Terms
Step2Flow reserves the right, in its sole discretion, to modify or replace these Terms at any time. If a revision is material, we will use reasonable efforts to provide at least 30 days’ notice prior to new terms taking effect (for example, by email, in‑app notices, or via our website). What constitutes a material change will be determined at our sole discretion.
By continuing to access or use the Service after revisions become effective, you agree to be bound by the revised Terms. If you do not agree to the new Terms, you must stop using the Service. Material changes related to AI features, data processing practices, or AI‑specific terms will be communicated with at least 30 days’ notice where reasonably feasible.
Account Limits and Plan Changes
Each subscription plan includes certain usage limits (for example, number of users, projects, storage, or AI usage). If your usage exceeds the limits of your current plan, Step2Flow may notify you and may, unless otherwise agreed in writing, automatically upgrade you to the next appropriate plan that supports your actual usage.
You are responsible for reviewing plan details and monitoring your usage. Any changes to your plan may affect your recurring fees and billing terms.
Refunds and Money‑Back Guarantee
If Step2Flow offers a money‑back guarantee or trial period for certain plans, the applicable conditions will be described at the time of purchase or in your order form. Unless expressly stated otherwise:
- Refunds, if granted, are limited to the most recent billing period and only if requested within a specified number of days after the last charge.
- Fees already paid for prior billing periods are non‑refundable.
Nothing in this section affects any mandatory refund rights you may have under applicable consumer protection laws.
Right to Refuse or Cancel Service
Step2Flow reserves the right to refuse, suspend, or cancel Service to any account at any time, with or without cause and with or without notice, to the extent permitted by law. Such decisions are typically rare and may arise where a customer’s conduct, requests, or use of the Service jeopardises our infrastructure, our business, our compliance obligations, or the experience of other customers.
AI‑Powered Features
Step2Flow may offer AI‑powered features on selected subscription plans to assist with task descriptions, content suggestions, summaries, or other productivity workflows within your workspace.
Feature Availability by Plan
AI‑powered features may only be available on specific, higher‑tier plans. Your subscription documentation or plan description will indicate whether AI features are included in your current plan. Step2Flow may change which plans include AI features from time to time.
Enabling and Disabling AI Features
By default, certain AI features may be enabled or disabled depending on the plan. Account administrators are responsible for configuring AI features for their organisation and can enable or disable some or all AI features at any time in the admin settings. AI feature settings apply at the organisation/workspace level and affect all users in that workspace.
How AI Features Work
AI features use third‑party artificial intelligence services to process your workspace data and user inputs in order to generate suggestions, summaries, drafts, or answers. When AI features are enabled:
- Relevant content from your Step2Flow workspace (for example, task titles and descriptions, project context, comments, or other selected content) may be sent to AI providers to generate outputs.
- User prompts or queries are transmitted to AI providers to generate responses.
- Limited technical and authentication metadata (such as timestamps, workspace identifiers, or pseudonymous user identifiers) may be transmitted for access control, logging, and abuse prevention.
Step2Flow configures AI providers so that your data is not used to train or improve their general models, in line with the settings made available by those providers. Retention periods and processing locations for AI interaction data are described in our Privacy Policy.
Ownership of AI‑Generated Content
You own all AI‑generated content produced through your authorised use of the AI features in your Step2Flow workspace. Step2Flow does not claim ownership over such content. You grant Step2Flow a limited license to host and process AI‑generated content solely to provide the Service to you.
Your Responsibilities When Using AI Features
When using AI features, you agree to:
- Review AI‑generated content before relying on or publishing it.
- Understand that AI‑generated content may contain inaccuracies, outdated information, or biased outputs and should not be treated as authoritative.
- Test and validate critical workflows (for example, decision‑making support, customer communications) before relying on AI content.
- Ensure that your use of AI features complies with all applicable laws and regulations, including data protection, employment, and sector‑specific rules.
- Use AI features only for lawful purposes related to your legitimate business activities.
Prohibited Uses of AI Features
You may not use AI features to:
- Generate content that violates applicable laws or regulations.
- Create or disseminate harmful, abusive, harassing, discriminatory, hateful, or misleading content.
- Attempt to reverse engineer or extract underlying models, model parameters, or proprietary algorithms from AI providers.
- Circumvent technical or usage limitations, such as rate limits or security safeguards.
- Generate spam or unsolicited communications.
- Impersonate individuals or organisations or otherwise mislead others as to the origin of content.
- Infringe intellectual property, privacy, or other rights of third parties.
AI Content Disclaimers and Limitations
AI‑generated content is provided “as is” without any warranty of accuracy, completeness, or fitness for a particular purpose. AI responses are generated based on patterns in data and your workspace content and may contain errors or inappropriate suggestions. AI‑generated content does not constitute legal, medical, financial, or other professional advice; you should seek appropriate professional advice where necessary.
Step2Flow does not guarantee uninterrupted or error‑free availability of AI features. AI services may be subject to downtime, throttling, limits, or changes by third‑party providers. Step2Flow reserves the right to modify, suspend, or discontinue AI features at any time, with or without notice, while making reasonable efforts to communicate material changes.
Data Processing and Privacy
Your use of the Service, including AI features, is subject to our Privacy Policy, which describes in detail how we collect, use, share, and protect personal data, and how AI‑related processing is performed. Key points include:
- The categories of data that may be processed by AI features.
- Retention and deletion practices for AI interaction data.
- The fact that your data is not used to train general third‑party AI models, to the extent supported by those providers.
